About the Position

We’re seeking a full-time Operations Associate committed to getting results in a fast-paced environment and able to handle complex competing priorities with a portfolio including event support, payment processing, and contract management.

This position will work closely with a range of individuals within and outside of the organization to coordinate projects and initiatives. He or she must demonstrate effective and efficient project management, and must be capable of exercising initiative, discretion and good judgment. Strong organization skills, professionalism and confidentiality are crucial to this role. This position will join our operations team to support various events, manage org-wide payments and contracts, and support our Senior Leadership Team.

Job Responsibilities:

  • Research and negotiate cost-saving contracts for vendors and venues; process invoices for payment.

  • Manage contracts from negotiation, to approval and process prayment.

  • Go-to person for staff with large purchases, manage all org-wide expenses and org-wide credit card.

  • Track and reconcile monthly credit card reports for senior staff.

  • Manage compliance for events including securing COIs and permits.

  • Book transportation, lodging, and venues.

  • Assist with on-site event production.

  • Proactively handle any arising issues and troubleshoot any emerging problems on event days.

  • Other duties as assigned including project management of special projects and initiatives.

In this role, organization, people skills, and the ability to thrive under pressure are paramount.

You should have:

  • Top-notch organization skills. If the books on your bookshelf are in alphabetical order, your notes utilize colors with specific meanings, and you find long to-do lists energizing, we want to talk to you! There’s a lot to keep track of in this role, and nothing can fall through the cracks. Meeting deadlines is key.

  • Problem-Solving Skills: Even the best planned events face hiccups. Being able to quickly solve the issue is required.

  • Negotiation Skills: Cost-cutting is a fundamental part of this role. Must be very comfortable and confident negotiating large scale contracts.

  • Calm Under Pressure: Convenings and actions are fast-passed with many moving parts. It’s essential the person in this role is able to be remain calm in the chaos.

Bonus qualifications, not required:

  • Fluency in Spanish

  • Knowledge of Concur Solutions
